Before you begin
- ✓
Check your insurance benefits
Call your plan or log into your insurance portal to understand your benefits. This is the best assurance to avoid unpredictable billing statements. We can’t guarantee your plan will pay according to your benefits. - ✓
Write down who you talked to and what your co-pay and deductible is and then message this to your therapist in the portal or let them know at your first session.
- ▪ MN driver’s license / photo ID
- ▪ Insurance card (front & back) → *N/A if you are ‘self-pay’
- ▪ Credit or debit card on file
New Client Onboarding: What You’ll Complete in the Portal
**all are auto-assigned in the doc tab
- ▪ Policy
- ▪ Telehealth policy
- ▪ Biographical Intake (10–15 min)
- ▪ HIPAA- data policy
- ▪ Good Faith Estimate
Contact our admin once all of your onboarding is complete. Then you can schedule!
To have the highest chance of your claims getting processed by your insurance plan, please follow the tips below.
Filling out your insurance info: Who is PRIMARY?
The person seeking therapy is always ‘primary’ — even if they are on a partner’s or parent’s plan. Exception: On a card where only one person is listed for the entire family, then they are ‘primary’ and you need to enter their DOB.
*Entering the wrong name in the insurance section will cause your claims to be denied.
Credit card on file
Required for every client. It’s used only for your co-pay, to pay against your deductible, or a no-show without proper cancellation. If a charge ever looks different from your Explanation of Benefits (EOB) that you receive from your plan, email our billing specialist: breckobillingspecialist@gmail.com. If there was an error, you will be refunded immediately. This is very rare, but can happen and is something we want to fix quickly.
Biographical intake
Please fill this out thoroughly for your clinician to have the best understanding about your history and why you’re seeking therapy. You’ll review it together with your therapist at your first session.
When everything above is complete, email admin@breckecounseling.com to let us know you completed all of the paperwork.
Once we verify your insurance is active and you have completed the checklist, we’ll switch you from NEW to ACTIVE and reply back to you that you are all set. Log in and start scheduling!
Scheduling
Some therapists allow you to schedule one session and then help you schedule more based on your needs. Some allow you to schedule months out from the start. You will know based on what the system allows you to do. Choose in-person or tele-health based on your preference and availability.
Questions?
Email admin@breckecounseling.com for onboarding help. To contact your therapist, use the portal’s messaging tab (envelope icon) — please allow 24–48 hours for a reply.
